Some PDF software requires separate modules to be installed for the different options, not with pdfFactory. Download the software, double click on it and within a minute pdfFactory will appear on your list of printers.

To create a PDF simply click on PRINT from your application and your document will appear in the pdfFactory preview.

Combining documents means that they are kept together in the order you want, removing the risk that the recipient will misplace sections. To do this you simply 'Print' each document to pdfFactory and they are added to the preview window. When you are done click SAVE or SEND. If you click SEND this will attach it directly to a new email. SEND removes the need to: save the PDF, start a new email, go to the attach option in the email software and find where you saved the PDF.
All PDFs are complete documents in their own right. Pictures are automatically embedded so there is no need to ensure that they are embedded rather than just linked (which can be the case sending word processed documents). Fonts can be embedded in the document if you want. If you use fonts in the document that you don't think the recipients will have, you can simply select the option to embed fonts and pdfFactory will list those included in the document for you to select. Embedding fonts guarantees the document will look the same. Without embedding the PDF viewer will select a font on the recipient's PC that is closest. Often this will be satisfactory, but if you use an unusual font the appearance and sometimes the spacing will differ.

You don't have to make the PDF and then save it so you can then open it in a viewer. The preview shows you what the PDF will look like. The preview also makes it very easy to make changes such as adding blank pages or removing pages and the editing that can be done in the Professional version. The preview also tells you how big the final PDF will be so that you can judge the necessity to change the compression settings for any pictures embedded in the PDF. The preview also makes it very easy to use the advnaced features of Overlaying, Stamping and Bookmarking.

Flexible security options allow you to restrict any of the following; opening, copying from, printing from or editing. For example you can publish documents on the web and when they are viewed in a PDF viewr such as Acrobat the Copy and Print options will remain greyed out and unavailable.

PDFs are very good at preserving the appearance of a document:

Pictures are always embedded. When you send original documents they may sometimes be set to only link to pictures elsewhere on your computer and therefore not available to the recipient.
Text layout is preserved regardless of the reciptent's settings or paper size. A common problem with sending original documents is that the recipient's software will reflow lines based on the default margins and paper size in the recipent's software.
Recipients do not always have the fonts that you used in your documents. But these fonts can be easily embedded in a PDF, removing this common cause for lines to reflow the appearance to change. This is very easy in pdfFactory as the preview shows the fonts ued in the documents(s) and you simply click on the ones to embed, or click the option to embed all of tiose used.

pdfFactory saves you time in attaching the PDF to an email. Click on the SEND button and an empty email is opened with the PDF attached.

Some email software limits the size of attachments and some recipients have monthly limits on the volume of data they can download. With pdfFactory it is smple to change the document size. Size is rarely a problem in PDFs without pictures. The preview shows the PDF size and you can change the compression of embedded images to reduce the size. The way PDFs handle text is to use the original font rather than an image of the page and the text takes very little space, about 5 KB per page and if you 'embed' the font in the document so that it appears exactly as the original in case the recipient does not have a similar font, this only adds a one off 30-40 KB. The text in PDFs is perfectly crisp at any magnification - as in the original document.

Any page can be saved as an overlay for application to future PDFs. For example letterhead or preprinted statement or invoice forms. You can also reduce the need for preprinted stationery as the PDF can be printed with the overlay from pdfFactory.

You can add all manner of content to the original document as you convert it to a PDF. Common examples are the addition of automatic page numbers or automatic text such as data and time or originating computer.
Remove confidential facts from a document that is to be issued more widely than originally intended or where circumstances have changed key data. You can highlight, blackout (redact) or delete marked text. You can replace sections with revised content. This is not the same as editing the original document where the the whole page might 'reflow'. This editing is though, simple and quick.

With pdfFactory you no longer need to print out an emailed form in order to complete it. With pdfFactory there are three steps. Print the form to pdfFactory, complete the fields by typing into the fields on the preview and click the SEND button to attache it to a new email to send it back. The alternative requires printing out, getting it from the printer, hand completing the fields, rescanning the completed form and saving it in an appropriate fromat - straight to PDF if your scanner does this otherwise to bitmap and then convert to PDF. Finally you need to start a new email select the attachment option and then find the saved form. pdfFactory is SO much easier!

If you have a long document creating bookmarks allows you to guide your readers to the essential point. They act as a contents page, where the user can click on the entries to jump straight to the page.

Single click pdf/A saving. The PDF standard is slowly evolving to take account of more advanced layout/setting options in new software and to add new abilities to the PDF itself. This could cause compatibility problems in the distant future. To overcome this the International Standards Organisation has specified a robust basic standard for long term document storage called the pdf/A standard. pdfFactory can save in this standard.
